Primary Function
Performs administrative duties primarily for the CEO. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports and financial data and customer relations. Requires strong computer and internet research skills. Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Past experience in the medical device industry is preferred .
Major Responsibilities
Ø Schedule meeting, conference calls, & special arrangements Ø Responsible for email correspondences, letters, presentations, reports, etc. Ø Maintain complex calendar Ø Handle VIP accommodations, travel arrangements including international travel Ø Responsible for incoming calls and responding to email messages and voicemails on behalf of the CEO and/or the Company Ø Maintain complete confidentiality of all matters as they pertain to the business operations Ø Assist the CEO and CFO with managing Board and external communications Ø Proactively anticipate CEO’s needs Ø Schedule off-site conferences and meetings. Ø Prepare CEO’s T&E reports Ø Draft, proofread, and edit correspondences for CEO Ø Coordinate shipment and billing of customer orders Ø Represent the CEO and Company by welcoming visitors Ø Complete projects and special assignments as requested Ø Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations Ø Enhance CEO’s and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments Ø Perform other duties as assigned
Qualification Requirements
Ø A Bachelor’s Degree in Business or General Studies, preferred Ø A minimum of 10 years Executive level administrative support experience Ø Prior senior level administrative experience within the medical device industry a plus Ø Advanced MS Office skills (Work, PowerPoint, Excel and Outlook) required Ø Exceptional listening, verbal, and written communication skills Ø Ability to multi-task Ø Excellent communication, interpersonal and organizational skills with attention to detail. Ø Ability to work in a small company environment. Ø High level of professionalism Ø Knowledge of international countries and currencies Ø Notary Public desired
