Duties/Responsibilities

50% - Administrative Coordinator for Surgical Administrative Center. Communicate/cultivate/maintain strong working relationships with faculty/staff to exchange or convey information.

  • Develop/maintain project management systems; make recommendations for process/procedural improvements. Collaborate with and support Center Director on special projects such as managing compact process, internal/external reviews, surveys, and reports. Organize and maintain all relevant governance documents, affiliation agreements, and intuitional contracts related to the Center including out- lying clinics, Fairview, Regions, HCMC, TRIA, UMP etc., collect accurate and relevant data and develop tracking/filing mechanisms to compile information, make recommendations for center-wide or department specific initiatives, ensure timely a! nd efficient follow-through on center director requests.
  • Assist in implementation of changes/process improvements within the Center. Develop/ write center manual, collaborate with finance and human resources to write policies. Create and maintain center-wide forms, develop/maintain processes for efficient and timely approvals, establish timelines and deadlines for progress, finalize documents and obtain necessary approvals internally and externally.
  • Plan/arrange special projects/events. Prepare invitations/lists, reserve space, coordinate catering, agendas, correspondence, act as a representative for center director.
  • Manage correspondence for Center Director. Develop processing mechanisms (file systems, online documents) for tracking and prioritizing requests, make recommendations for high priority issues, act or respond on behalf of center director.
  • Coordinate the collection/analysis data, research/compile information for reports/surveys! requested by the Dean's Office, UMP, AHC and others.
  • Collabor! ate with HR, Finance, and/or Education to collect data and prepare reports/spreadsheets/data analysis for internal /external requests (examples may be related payroll reporting, vacation/sick leave, performance management, financial reporting, employee turnover).
  • Assist in the development, collection, writing and assembly of materials required for research or clinical proposals and reports including: research and collect data, develop documents/ spreadsheets/ presentations, assemble, prepare materials for submission/review/presentation. Collaborate with the Center Director and Clinic Managers.
  • Prepare presentation materials, develop and assemble graphs, diagrams, organizational charts, flow sheets, pictures, slides etc.
  • Track progress of Center projects/programs/initiatives with relevant business plans and timelines. Create forms/spreadsheets, establish deadlines, track progress, communicate reminders and relevant deadlines, make recommendations f! or improvements. Act as a representative of the Center director on specifically assigned matters.
  • Maintain Administrative Center website
40% - Manage calendar of Administrative Center Director

Schedule/arrange meetings, and coordinate agendas, e-mail management, preparation of space and meeting materials/meeting minutes. Coordinate monthly all center meetings (schedule meeting rooms, contact for agenda items, etc) Function as resource person for internal and external inquires by explaining policies and/or procedures and responding to requests.

10% - Administrative support for SAC HR and Finance

Manage calendars for Finance Director and HR Manager. Collaborate with Finance to distribute financial reports and information. Assist HR in scheduling interviews for open positions within SAC and SAC Departments. Manage/route appropriate paperwork across departments, AHC and Medical School for HR and Finance. Assist in the coordination ! of adjunct appointments; draft letters and manage communications. Overs! ee maintenance of ImageNow personnel file updates.

Program/Unit Description

The Surgical Administrative Center, is one of eight administrative centers within the Medical Shool. SAC provides education, financial, and human resources services for the departments of Surgery, Orthopaedic Surgery, Urology and Otolaryngology.
