- High School diploma and four years operations and/or student support experience.
- Previous experience in a customer service/public contact role (i.e. dealing with demanding and/or irate clients, greeting clients, telephone reception, resolving customer complaints).
- Previous experience writing, editing, proofing general and complex correspondence.
- Demonstrated/documented record of organization skills (such as tracking/filing different process and procedures).
- Experience with MS Word & Excel, with Internet and with Email.
- Educational experience beyond high school
- Excellent interpersonal, organizational and problem-solving skills
- Ability to multi-task in a fast-paced environment, work independently, show initiative, meet deadlines, providing administrative support t! o multiple administrators
- Spread sheet experience inc! luding mail merges and data entry
- Ability to handle confidential material
- Experience assisting with meetings, event planning, and project management
- Proficient with Word, Excel, and electronic calendars
- Ability to design and construct PowerPoint presentations
- Exceptional customer service skills and professional demeanor are essential.
- Work experience in Admissions, Recruitment, and/or Cultural Diversity program.
- Knowledge of PeopleSoft, Forms Nirvana, and other University electronic data systems.
Leadership and Management 40%
- Responsible for Admissions and Diversity Office operations. This includes, planning and resolution of operational problems, development of new procedures, and clarification of policy.
- Initiates and prepares analyses and recommendations on new policy or changes in policy for the office of Admissions and Diversity.
- Serves as resource for faculty, staff, students, and public agencies on policy for the
- Office of Admissions and Diversity. Coordinates processes for reviewing and evaluating policy. This process typically involves collaborating with faculty and staff within the
- Academic Health Center as appropriate, and preparing recommendations to improve quality and consistency among the collegiate admissions and recruiting.
- Assists the Assistant Dean of Admissions and Diversity in maintaining liaison with deans, department heads, and their representatives about a wide variety of policy and procedures related to the Office of Admissions and Diversity.
- May represent the Office of Admissions and Diversity, student affairs, and college committees engaged in formulating policy consistent with quality of the admi! ssions process.
- Works with national and local officials with A! DEA and NAAHP among others.
- Acts as a liaison between appropriate external agencies and University personnel and students.
- Serves as a consultant to other staff members and campus agencies on external agency relations for assigned area.
- Advises students on vocational and career questions, placement, and related admissions questions.
- Assists in resolving problems.
- Prepares reports for the Office of Admissions and Diversity. Obtains data necessary to complete information necessary for administrative decisions. Makes recommendation on data collection and analysis needs. Compiles case histories.
- Guides the development and maintenance of computer systems.
- As the FFN approver for the department; approves financial transactions submitted by the Student Support Specialist.
- Works with the Assistant Dean of Admissions and Diversity in developing and carrying out recr! uitment strategies.
- Coordinates DDS Admissions Committee (AC) meetings; develops admissions statistics for each meeting, takes minutes at AC meetings; works in conjunction with the Assistant Dean in providing policy information to members.
- Represents the School of Dentistry at recruitment events, and events related to admissions, diversity, workforce, etc., as requested/assigned by the Assistant Dean.
- Serves as the direct contact for prospective students and applicants; devises means to provide academic advising, career guidance, and application process information to prospective applicants.
- Updates all admissions and diversity related materials; provides revisions to information and statistics published in the School of Dentistry website, ADEA publications, annual surveys, etc.
- Reviews and assesses applications for the 4 year DDS program and facilitates their movement throughout t! he admissions process.
- Collects materials for Dental Therapy a! nd Dental Hygiene applications and works collaboratively with the appropriate program office for review.
- Oversees AADSAS Client (also known as A-Client, a national admissions database) and weekly updates to the portal.
- Oversees and facilitates visits by 4 year DDS applicants on interview day; coordinates faculty interviewers for DDS applicants
- Directs the planning and implementation of admissions related events (recruitment events, Careers Day, etc.)
- Prepares letters and related materials for mailings such as Admissions acceptance mailings, special events announcements, etc.
This person reports directly to the Assistant Dean of Admissions and Diversity. The main focus of this position is to provide coordinative leadership to the Assistant Dean of Admissions and Diversity in the recruitment, admissions, and diversity related programs for the 4-year Doctor of Dental Surgery (DDS) predoctoral prog! ram, Dental Therapy program, and the Bachelor of Science in Dental Hygiene program; manages the recruitment, application, and admissions process for the 3 programs mentioned above. Plans and implements events including Careers Day and New Student Orientation.
