Administrative Assistant

Location: Saint Paul Minnesota

Report to the Operations Administrative Manager
Handle a wide variety of tasks with multiple deadlines and managers
Assist organization/coordination of special events
Back up and assist for general and special office duties and projects for Operations Department

Filing, preparing mailings, create/update documents and reporting functions
Responsible for opening and closing the office
Answer front desk phones when Receptionist/Administrative Assistant is not on duty as well as cover breaks and lunches at the front desk/reception area
Help coordinate office functions and events such as Holiday Party, preparing of Holiday cards, company picnic, etc, upon request

Process incoming faxes when covering front desk/reception and other front desk tasks
Prepare m! eeting room for meetings by setting out the catered meals/snac! ks, beverages, etc. as well as assisting the coordination of catering for special events

Five years’ experience in the following areas: Secretarial, 5+ years required, executive experience preferred
Advanced skills with Microsoft Office (Word, Excel, and Outlook) required
Database skills, Access required.
Visio and Publisher skills preferred.
General office procedures experience such as customer service, receptionist, purchasing/inventory, etc.
Ability to draft professional correspondence with accuracy and create and manage files both electronically and hard copy

Must have exemplary organizational time and project management skills
Attention to detail and follow through is required
