Clinic Coordinator:
Hours are follows:
Monday through Friday 7:00 am - 3:30 pm (with the possibility of rotations of up to 4 Saturdays per year working 7:00 am - 12:00 pm)
The University of Minnesota Health Clinic and Surgery Center (CSC) Clinic Coordinator team ensures that patients, their families and guests have an unparalleled excellent experience at the CSC. Serving as the face of the clinic(s) for patients and their families at time of check-in and arrival. The clinic coordinator team will be responsible for the professional and efficient operation of the patient check-in, arrival, and check-out process activities for clinic(s) in which they support. They will actively use and embrace technological enhancements to support the check-in, check-out, and scheduling process. The team will work collaboratively with clinic management and staff to support the business needs of the clinic.
Key Responsibilities Include:
Utilizes strong customer service skills and promote the organizational philosophy of patient centered care to proactively meet the needs of all patients and their families during their clinic visits and/or other interactions.
Greets and welcomes all patients and families as part of the check-In and arrival process for unparalleled excellent experience.
With great kindness, greets patients and determines the patient’s intake status, checking the patient’s itinerary.
If all aspects of information needed to facilitate the visit are not present in the electronic record, provides patient with tablet to complete process, or assists the patient directly if they need assistance.
Maintains awareness of mult iple competing situations needing attention and prioritizes to assure patient/guest needs are met, while maintaining a pleasant, friendly demeanor.
Anticipates patient and guest needs, offers options for increased comfort, answers requests for directions, phone numbers, personal services, transportation, etc.
Accurately coordinates and schedules future appointments and/or procedures following patient visit with provider.
Through active monitoring, proactively assures an ideal waiting experience. In the event of an unhappy patient or guest, facilitates service recovery real time to assure that no guest leaves without a resolution to a problem.
Ensures patients and guests have access to appropriate technology, tablets, and other communication devices.
The minimum qualifications for this role are:
Post HS education or training with basic medical terminology and keyboarding skills.
Knowledge of organization’s purpose and goals. Must succ essfully complete training program within 4 weeks of hire.
Proven ability to learn job skills and provide patient services. Excellent public relations skills. Proven ability to accurately schedule appointments and interpret provider orders.
Key boarding skills of 35 wpm. Good communication and customer service skills.
Able to adjust approaches to reflect population served. Good working skills, dependable and team player.
Flexible with assignments and able to perform a wide variety of front desk functions.
Good multi-tasking and critical thinking skills. Outstanding Interpersonal and communication skills.
Preferred qualifications include:
Knowledge of environment of care and infection control policies. Successful completion of related training program. Online scheduling and EMR training.
Previous clerical experience in a medical setting. Previous computer entry experience.
Good prioritization skills. Ability to speak the languag e of served clients.
Ability to work comfortably with a variety of patients and guests. Knowledge of physical, psychosocial and cognitive developmental needs of population served.
